2.4 — SMS & Messaging Data

No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

3. How We Use Your Information

Highwayhaul Logistics Inc. uses the information we collect for the following purposes:

3.1 — Service Delivery
  • To provide truck dispatch, load booking, rate negotiation, and logistics consulting services;
  • To communicate with freight brokers, shippers, and logistics partners on your behalf;
  • To coordinate paperwork, rate confirmations, bills of lading, and carrier compliance documents;
  • To process invoices and payments for services rendered.
3.2 — Business Operations
  • To manage and maintain our client and carrier database;
  • To respond to inquiries, support requests, and communications;
  • To onboard new clients and verify carrier authority and compliance;
  • To send invoices, billing notices, and service-related communications.
  • To comply with applicable federal and state laws, regulations, and legal obligations;
  • To enforce our service agreements, refund policy, and terms of service;
  • To respond to lawful requests from government authorities or legal proceedings;
  • To protect the Company against fraud, chargebacks, and unauthorized transactions.

3.4 — Marketing & Communications

  • To send service updates, company announcements, and relevant industry information (only with your consent or as permitted by law);
  • To send SMS text messages, WhatsApp messages, and/or voice calls to Users and End Users who have provided prior express written consent, including but not limited to: service notifications, dispatch updates, load details, appointment reminders, billing alerts, and promotional offers;
  • To maintain records of all messaging consent, including opt-in date and time, consent method, and the specific disclosure language presented at the time of opt-in, in accordance with TCPA and Twilio A2P compliance requirements;
  • To honor all opt-out requests promptly. Users may withdraw consent to receive SMS or WhatsApp messages at any time by replying STOP to any message. Upon receipt of a STOP request, no further promotional or marketing messages will be sent to that number;
  • To improve our website content, service offerings, and client experience based on usage data and communication preferences.

Message and data rates may apply to SMS and WhatsApp communications. Message frequency varies based on your account activity and service engagement. Reply HELP to any message for assistance or contact us at privacy@highwayhaul.us.

4. How We Share Your Information

We do not sell, rent, or trade your personal information. We may share your information in the following limited circumstances:

4.1 — Service Partners

We share necessary information with freight brokers, shippers, load boards, and logistics partners solely for the purpose of fulfilling dispatch services on your behalf. This includes your carrier authority details, contact information, equipment specifications, and insurance certificates.

4.2 — Payment Processors

Payment information is transmitted securely to our third-party payment processors (such as Stripe or Authorize.net) who handle transactions on our behalf. These processors are PCI-DSS compliant and are contractually prohibited from using your financial data for any purpose other than processing your payment.

We may disclose your information when required by law, regulation, subpoena, court order, or other legal process, or when we believe in good faith that disclosure is necessary to protect the rights, safety, or property of the Company, our clients, or the public.

4.4 — Business Transfers

In the event of a merger, acquisition, sale of assets, or business reorganization, your information may be transferred to the successor entity as part of that transaction. We will provide notice before your personal information is transferred and becomes subject to a different privacy policy.

4.5 — Professional Advisors

We may share information with our attorneys, accountants, or business consultants strictly as necessary to operate our business, under confidentiality obligations.

4.6 — Communications Service Providers

  • Twilio, Inc. — serves as our underlying SMS, voice, and messaging infrastructure provider. Phone numbers, message content, and delivery metadata are transmitted through Twilio’s platform to facilitate A2P communications. Twilio’s privacy practices are governed by its Privacy Policy at https://www.twilio.com/legal/privacy.
  • Lead Connector — serves as our messaging orchestration platform. Contact information, messaging consent records, opt-in timestamps, and communication histories are stored within this platform for the purpose of managing client and carrier relationships.
  • Meta Platforms, Inc. (WhatsApp Business API) — where we communicate with you via WhatsApp, your phone number and message content are transmitted through Meta’s WhatsApp Business API. Meta’s data practices are governed by its Privacy Policy at https://www.whatsapp.com/legal/privacy-policy.

No mobile information, including SMS opt-in data and consent records, will be shared with any third party or affiliate for marketing or promotional purposes. Text messaging originator opt-in data and consent information will not be sold, rented, or disclosed to any third party under any circumstances.

5. Data Retention

We retain your personal and business information for as long as necessary to fulfill the purposes described in this Policy, maintain our business records, and comply with applicable legal obligations. Our general retention guidelines are as follows:

  • Client and carrier records: Retained for a minimum of five (5) years following the termination of the service relationship, consistent with standard business and tax recordkeeping requirements;
  • Payment and transaction records: Retained for seven (7) years in accordance with IRS and financial recordkeeping regulations;
  • Website usage and analytics data: Retained for up to twenty-four (24) months;
  • Marketing and communication preferences: Retained until you opt out or request deletion.

When data is no longer required for its original purpose and no legal obligation requires its retention, we will securely delete or anonymize it.

If additional time is required, we will notify you within the initial 45-day period and may extend our response by an additional forty-five (45) days.
